Automate an Assessment or Survey with Cadences and Triggers
The app supports multiple types of automation to help you streamline the collection of surveys and assessments.
Cadences
Cadences let you automate a recurring assessment or survey to be sent to the same group of members at a pre-defined frequency. An example use case for this type of automation is to send a bi-annual alumni wellness survey. To set up a cadence:
- Navigate to Menu > Dashboard > Toggle Admin Menu (mobile only) > Assessment or Surveys & Forms.
- Tap the survey/assessment title from the main list to open the survey/assessment details page.
- Tap Config.
- Next to the Cadences heading, tap the green + sign.
- Fill in the configuration settings:
- Team: Select the team or contact list you'd like to send the survey/assessment to.
- Admin for Instance: This user will be automatically assigned to receive notifications for this survey/assessment.
- Survey/Assessment Cadence (days): The number of days in between each survey/assessment occurrence.
- Start Cadence on day 1: Select whether the user should receive the survey/assessment on the first day.
- Number of times survey/assessment will be sent: The total number of times the survey/assessment will be sent.
- Days to complete survey/assessment: The number of days each survey/assessment recurrence should remain open for members to respond.
- User date field to check against: The reference date used to determine when the first assessment/survey should be sent. The available options are when the user began treatment, left treatment, or created their app profile.
Note: The option to send Assessment/Survey Not Complete SMS reminders is not compatible with cadences. Members will still receive the standard notifications for new surveys/assessments and surveys/assessments about to expire in whatever format they've selected in their preferences.
Example:
The example cadence below would send the survey a total of 4 times to each member of the Alumni team - 90 days, 180 days, 270 days, and 360 days after the member left treatment. With each recurrence, the member would have 14 days to complete their survey.

Triggers
Survey/Assessment Triggers let you automate a survey/assessment to send immediately when a specific user action takes place. An example use case for this type of automation is to gather feedback after an appointment. To set up a survey/assessment trigger:
- Navigate to Menu > Dashboard > Toggle Admin Menu (mobile only) >Assessments or Surveys & Forms.
- Tap the assessments/survey title from the main list to open the survey/assessment details page.
- Tap Config.
- Next to the Triggers heading, tap the green + sign.
- Fill in the configuration settings:
- Team: Select the team or contact list you would like the survey/assessment to.
- Admin for Survey/Assessment Instance: Think of this admin as the survey/assessment "owner".
- Trigger Action: Options include when a member joins an Appointment or Reaches Six Month Milestone. Whenever a member from the selected team performs that action, they will be sent the survey/assessment immediately.
